Create a maintenance report with a checklist and photos
Show what maintenance work was completed and what still needs attention. Combine check items, readings, observations and photos in a PDF.

When is this useful?
Service companies and facilities teams can report visits to equipment and building systems. You determine the appropriate technical checks for the equipment.
What to include
- Equipment type, serial number and location
- Date, technician and reason for the visit
- Cleaning, inspection and replaced parts
- Readings with units and observations
- Faults, photos and required follow-up
- Responsible person and proposed next date
A practical example
A technician services a ventilation unit. They note a filter change, record readings and photograph a damaged seal. The report identifies the replacement part still needed.
How to build it with Tabfields
Use short answers for equipment IDs, choices such as Done, Not done and Not applicable for checks, and number fields with units. Add photos and a longer recommendations field.
Open the builder, adjust the questions and check the preview. “Share link” gives you a form link. The recipient fills it out, generates a PDF and downloads it or shares it through a supported app. No PDF is sent back automatically. Opening the builder does not load another template or replace your current draft.

Common questions
Does Tabfields send maintenance reminders?
No. You can record a date, but no reminders are sent.
Is a technical checklist preloaded?
A general maintenance and service report is available in My templates. Adapt its checks to your equipment and manufacturer instructions.
Can readings and photos appear together?
Yes. Both are included in the generated PDF.
Form or finished document?
Use form mode for a fillable link and drawn signatures. If you want to write the content yourself, use document mode to create a finished PDF with text, images, details and tables.
