DOCUMENTS & USE CASES

Create a request for quotation online and save it as a PDF

A clear request for quotation helps a supplier understand the work before preparing a price. Build a form with the questions your business needs, share its link and ask the customer to send you the completed PDF.

When is this useful?

Installers can ask about the site and equipment. Agencies can collect project goals and deliverables; cleaning businesses may need floor areas and service intervals. A consistent set of questions reduces follow-up calls.

What to include

  • Contact person and address
  • Work or products requested
  • Location and access conditions
  • Quantities, dimensions and photos
  • Preferred date and an optional budget indication

A practical example

An air-conditioning installer asks about rooms, sizes and installation positions. Photos show possible unit locations. The customer sends the completed PDF, and the installer follows up with any remaining questions.

How to build it with Tabfields

Start with “General request for quotation” under “My templates → Requests & briefings”. Describe your needs and add items with quantities, units, dimensions and photos. Record the location, conditions, preferred dates and optional budget range. Adapt the template to different services and goods.

Open the builder, adjust the questions and check the preview. “Share link” gives you a form link. The recipient fills it out, generates a PDF and downloads it or shares it through a supported app. No PDF is sent back automatically. Opening the builder does not load another template or replace your current draft.

The buttons open “General request for quotation” in the template catalog. Your current draft is replaced only after you confirm loading.

Common questions

Does this create a binding quote?

No. It gathers requirements; the supplier prepares the actual quote separately.

Can customers describe several rooms?

Yes. They can add rooms and give each one its own heading.

Does the PDF arrive automatically?

No. The customer downloads or shares the PDF and sends it to you.
