DOCUMENTS & USE CASES
Create an inspection checklist and document it as a PDF
Guide staff through recurring checks and record results, deviations and photos in a PDF.
Choose templateWhen is this useful?
Suitable for internal quality checks, cleaning inspections, goods receipt and simple visual checks. Your team defines the technical criteria and required expertise.
What to include
- Item, location or batch being checked
- Date and person carrying out the check
- Each checkpoint and its clear criterion
- Result, deviation, location and photos
- Corrective action, owner and target date
A practical example
A cleaning team checks a meeting area. They mark results for tables, floors and bins. A damaged floor section is photographed and noted for the responsible manager.
How to build it with Tabfields
Start with “Inspection checklist – Cleaning inspection” under “My templates → Inspection & acceptance”. It includes checks for floors, surfaces, touchpoints, sanitary facilities and waste bins. Adapt them to your business, add your own checks and record issues with photos, responsibility and a deadline.
Open the builder, adjust the questions and check the preview. “Share link” gives you a form link. The recipient fills it out, generates a PDF and downloads it or shares it through a supported app. No PDF is sent back automatically. Opening the builder does not load another template or replace your current draft.
The buttons open “Inspection checklist – Cleaning inspection” in the template catalog. Your current draft is replaced only after you confirm loading.
Common questions
Are deviations analysed automatically?
No. The PDF records results; there is no automatic scoring or escalation.
Can answers be required?
Yes. Mark a field as required in the builder.
Does it include an official inspection standard?
No. You define the criteria; the tool does not verify industry requirements.
Form or finished document?
Use form mode for a fillable link and drawn signatures. If you want to write the content yourself, use document mode to create a finished PDF with text, images, details and tables.
