DOCUMENTS & USE CASES
Create a handover record with photos and signatures
Document exactly what was handed over and its condition. Your custom form can collect descriptions, photos and drawn signatures in a PDF.
Create your formWhen is this useful?
Useful to landlords, property managers, equipment rental businesses and teams handing over company assets. A structured record also helps when an item is returned.
What to include
- Date, place and names of everyone involved
- Property, item, model or serial number
- Condition and known defects
- Keys, cables, manuals and other accessories
- Damage descriptions and matching photos
- Agreed next steps and separate signature fields
A practical example
A rental company hands over a dehumidifier. The record lists its serial number and power cable; a photo shows an existing scratch. Both people draw signatures before the PDF is saved and shared.
How to build it with Tabfields
Start with the date and people involved. Add condition questions, an accessory choice, photos and separate signature fields. Use Rooms when documenting several areas. Preview the form before sharing its link.
Open the builder, adjust the questions and check the preview. “Share link” gives you a form link. The recipient fills it out, generates a PDF and downloads it or shares it through a supported app. No PDF is sent back automatically. Opening the builder does not load another template or replace your current draft.
Your draft remains in this browser tab during the session.
Common questions
What should the photos show?
Take an overview for identification, then details of any damage. Describe where each issue appears.
Can two people sign?
Yes. Add two signature blocks and label them for each person.
Is the signature certified?
No. It is a drawing made with a finger or mouse and embedded as an image in the PDF.
Is the PDF sent to both parties?
No. The person filling the form must download or share it themselves.
Form or finished document?
Use form mode for a fillable link and drawn signatures. If you want to write the content yourself, use document mode to create a finished PDF with text, images, details and tables.
