Record a problem with its location, description and supporting images. A structured PDF makes it easier to pass on the facts to the responsible person.

Property managers, landlords, fleet teams and service providers can document damage to rooms, vehicles or equipment. Label assumptions as assumptions.

A practical example
A staff member notices water under an office sink. They enter the room and time, describe the visible dampness and add overview and close-up photos before sending the PDF to property management.
How to build it with Tabfields
Start with the ready-made “Damage report” template under “My templates → Property & condition”. Adapt the item details and questions to your needs. Record contact details, location, discovery date, description, photos and initial actions. Add entries for other affected areas as needed.
Open the builder, adjust the questions and check the preview. “Share link” gives you a form link. The recipient fills it out, generates a PDF and downloads it or shares it through a supported app. No PDF is sent back automatically. Opening the builder does not load another template or replace your current draft.
The buttons open the “Damage report” template in the template catalog. Your current draft is replaced only after you confirm loading.
Common questions
Is the report sent to an insurer?
No. The PDF must be sent manually; there is no insurer integration.
How many photos can be included?
Up to 20 photos per document, with up to 12 MB per original image.
Does the form determine the cause?
No. It records what was entered; a qualified person must investigate the cause.
Form or finished document?
Use form mode for a fillable link and drawn signatures. If you want to write the content yourself, use document mode to create a finished PDF with text, images, details and tables.
