DOCUMENTS & USE CASES

Create an acceptance inspection record for building work

Capture what was inspected after a job, including observations, photos and agreed follow-up tasks. Your PDF keeps the discussion in one place.

Choose template

When is this useful?

Useful for renovation, installation and other trade work when the contractor and customer inspect completed services together.

What to include

  • Project, site, date and participants
  • Work inspected and scope discussed
  • Results and the precise location of any defect
  • Photos linked to observations
  • Agreed remedy, responsible person and target date
  • Exact statements made by participants and optional signatures

A practical example

After a kitchen installation, the parties inspect cabinet doors, the worktop and connections. They photograph a damaged front panel and note the agreed replacement date.

How to build it with Tabfields

Start with the “Acceptance record” template under “My templates → Inspection & acceptance”. Adapt the scope and checks to the job. Record each defect with photos, a responsible person and an agreed deadline. Explicitly record the outcome and further agreements.

Open the builder, adjust the questions and check the preview. “Share link” gives you a form link. The recipient fills it out, generates a PDF and downloads it or shares it through a supported app. No PDF is sent back automatically. Opening the builder does not load another template or replace your current draft.

The buttons open the “Acceptance record” template in the catalog. Your current draft is replaced only after you confirm loading.

Common questions

Should defects be listed separately?

Yes. Specify the location, observation and agreed action for each one.

Does Tabfields decide whether work is accepted?

No. You write the statements yourself; the tool does not assess legal consequences.

What kind of signature is available?

A drawn signature appears as an image in the PDF, not a certificate-based digital signature.

Form or finished document?

Use form mode for a fillable link and drawn signatures. If you want to write the content yourself, use document mode to create a finished PDF with text, images, details and tables.
